Before the day
On the scoping call, the head of finance names three jobs that eat the month-end: the management commentary on monthly numbers, vendor query emails, and summarising long contracts and circulars for the leadership team. The team sends sample files with names and amounts masked, and IT confirms which AI tool the company has approved.
Morning
- A short session on what the approved tool can and cannot be trusted with, using a real example of a confident but wrong answer.
- Each person rewrites a weak prompt for the monthly commentary until the first draft is usable, then compares it against last month’s final version.
- The team agrees a two-minute checking routine: totals against source, every number traced, every claim either cited or removed.
Afternoon
- Contract and circular summaries in a fixed format, with page references so a reviewer can verify each point.
- A shared assistant (a Claude Project, Custom GPT or Copilot agent, depending on the approved tool) loaded with the team’s templates and tone.
- A 30-day plan: who uses which prompt for which job, and how the team will count hours saved.
Nobody leaves with a certificate alone. They leave with prompts, an assistant and a plan that their manager has seen.
